1. Identify the five main cost groups
Costs commonly come from platform use, instrument rights, technical setup, project operations, and result outputs. Some projects need only the platform; others add scoring configuration, branded reports, custom psychograms, dashboards, or intensive support.

2. Compare subscription and pay-per-use models
Subscriptions can fit stable, year-round usage. Pay-per-use offers flexibility for periodic projects, changing volume, or teams that want to begin without an annual license commitment.
Look beyond the label. Check minimum commitments, credit validity, admin seats, concurrency, included features, and separately billed services.
3. Separate initial setup from repeat work
Organization-owned instruments may require item entry, navigation rules, scoring, norms, QA, and output design. Custom psychograms and report structures also require technical mapping and review.
Once a workflow is mapped, later batches can run faster and more consistently as long as the tools, formulas, and formats remain stable. Clarify what counts as maintenance and what becomes new development.
4. Include internal operating costs
Manual spreadsheets, score recaps, participant checks, and report preparation consume staff time. Compare providers on internal work hours, error risk, result turnaround, and participant-support workload as well as invoices.
Automation creates value when it reduces repetition without removing review controls. Keep checks before invitations, after scoring, and before result release.
5. Prepare a comparable quotation brief
Give each provider the same scenario: purpose, participants, instruments, schedule, monitoring, outputs, branding, and support. Otherwise, a lower quote may simply contain a smaller scope.
